We are in need of an experienced Administrative Assistant to support our Office Manager and Business Development Assistant with projects as assigned. In addition, this person will be entrusted to complete various tasks that are integral to the daily operations of the company. A successful candidate for this position shall possess strong computer skills, be highly organized and have the ability to work independently.

Responsibilities

  • Strong computer skills (database entry & Google Suite applications)
  • Ability to learn & confidently execute our widely used Builders Software: Contractor Foreman
  • Organize information into Google Drive folders & Contractor Foreman
  • Monitor & respond to email messages from Company email address
  • Print, save & file necessary information received through email or text message
  • Respond to emails, text messages, chat messages & phone calls in a timely manner
  • Process leads (receive, respond to & add information to Google Drive/Contractor Forman) 
  • Calendar management. Scheduled appointments with clients & vendors 
  • Answer company related phone calls & text messages
  • Interaction with Town Departments regarding permitting and inspections
  • Print-out building plan sets on large-scale printer
  • Create project folders in Google Drive & print form (add necessary information to both)
  • Google Drive/Contractor Forman upkeep & organization
  • Scan, print & collate necessary documents
  • Run occasional errands on behalf of the Company (Post Office/office supply run/Town Hall)

 

Qualifications

  • Excellent communication & organizational skills
  • Ability to work independently (as well as part of a team)
  • Confidentiality/discretion with client & project information
  • Proficiency with Google Suite applications (Docs/Sheets/Drive/Photos/etc.)
  • Past use & understanding of office equipment (printer/scanner)
  • Ability to interact with team members in a professional & pleasant manner
  • Excellent time management practices
  • Experience with spreadsheet creation & spreadsheet data management
  • Ability to follow directions to complete tasks in a timely manner
  • Capable of proactive problem solving through acquired knowledge & available resources
  • Knowledge of Construction/Building Industry a plus
