Administrative Assistant

We are seeking a qualified Administrative Assistant to support our office staff with assigned projects. In addition, this person will be entrusted to complete various tasks that are integral to the daily operations of the company. A successful candidate for this position shall possess strong computer skills, be highly organized and have the ability to work independently.
Responsibilities:
- Prepare documents (estimates/payment applications/contractual documents/etc.)
- Email management of general mailbox
- Ensure appropriate distribution of emails to ensure that staff is aware of communications that pertain to them individually (and as a team)
- Assist w/ Solar System permitting & monitoring software (Enphase)
- Create & manage Facebook Marketplace listings
- Strong computer skills (database entry & Google Suite applications)
- Ability to learn & confidently execute our widely used Builders Software: Contractor Foreman
- Organize information into Google Drive folders & Contractor Foreman
- Print, save & file necessary information received through email or text message
- Monitor & respond to emails, text messages, chat messages & phone calls in a timely manner
- Process leads (receive, respond to & add information to Google Drive/Contractor Forman)
- Calendar management. Scheduled appointments with Clients & Vendors
- Answer company related phone calls & text messages
- Interaction with Town Departments regarding permitting and inspections
- Print-out building plan sets on large-scale printer
- Create project folders in Google Drive & print form (add necessary information to both)
- Google Drive/Contractor Foreman upkeep & organization
- Scan, print & collate necessary documents
- Meet with Subcontractors/Vendors/Town Officials at construction sites for various reasons
- Run occasional errands on behalf of the Company (Post Office/office supply run/Town Hall)
Qualifications:
- Excellent communication & organizational skills
- Ability to work independently (as well as part of a team)
- Confidentiality/discretion with Client & project information
- Proficiency with Google Suite applications (Docs/Sheets/Drive/Photos/etc.)
- Past use & understanding of office equipment (printer/scanner)
- Ability to interact with team members in a professional & pleasant manner
- Excellent time management practices
- Experience with spreadsheet creation & spreadsheet data management
- Ability to follow directions to complete tasks in a timely manner
- Capable of proactive problem solving through acquired knowledge & available resources
- Knowledge of Construction/Building Industry a plus
- Process & manage staff/client meeting notes (Google Gemini & Plaud)

- 35 Hours/Week
- Competitive Hourly Wages ($20-$22 per hour ~ depending on experience)
